Zoom Facilitator Guide: Participant Audio & Merge Separated Video

MERGE PARTICIPANT AUDIO

 

Computer audio is preferred for participants, and participants should join the meeting via the meeting link URL. If a participant utilizes the "Call Me" (dialing in) audio option, and their audio and video are separated, there are two options to merge/combine them.

 

Option 1: As the host, you can merge a participant's audio and video for them. To merge a participant's audio and video, you right click on their box displaying their name or phone number. This will provide you with a menu that includes "Merge with audio" or "Merge with video" as appropriate. When you chose one of those options, a list of unpaired audio or video connections is presented which you can click on to pair. NOTE: This right click/merge feature does NOT work on a Mac. In this case participants must default to option 2 below. 

 

Option 2: The participant may merge their own phone line. To do this the participant must select the “Join Audio” icon, click on “Phone Call” tab, and follow these instructions listed in green text: “Already joined by phone? Enter the Participant ID number #XXXXXX# on your phone.” Entering in this code on their phone will connect their phone line to their participant name in Zoom. It is important that participant's audio and video is NOT separated, as this will impact their ability to participants in breakout rooms. Ensure that the participant leverages the pound/hash sign before and after entering in their participant ID number on their phone. 

INCONSISTENT PARTICIPANT AUDIO

If a participant's audio is inconsistent, instruct them to turn off their video to protect bandwidth. This works 75% of the time. If audio is an issue for the majority of participants, instruct everyone to log off and rejoin the meeting. 

 

TIPApple Airpods are very sensitive compared to usual wired Apple earbuds. Apple Airpods tend to pick up/send a lot of white noise. Make sure to fully charge your Airpods prior to the VILT event.

NOTE: Airpods are NOT compatible with Microsoft Teams platform and audio will not work if you join a video meeting on Teams.
