Managing Screen-Outs

It’s common to screen respondents out of your survey who don’t meet necessary conditions.

Setting Up Screen Outs

A quick way to screen out respondents is to use Skip Logic to skip respondents to the end of a survey if they do not meet your study’s requirements. This method collects and records the response in your data set even though the respondent is immediately guided out of the survey. Respondents experience the end of survey option you select in Survey Options.

You may have a few different questions that could screen out respondents. You can give each group its own custom of end of survey message. 

For example, you could create a message just for respondents who are too young for your survey. You can do this by using the End of Survey element in the Survey Flow.

  1. Add Skip Logic to an age question that skips a respondent to the end of the Demographics block if they are under 18.so2.png
  2. Open your Survey Flow and add a branch below the Demographics block to capture those under 18.so3.png
  3. Add an End of Survey element nested within the branch.
  4. Click Customize to specify what the end of survey behavior will be.
  5. Select Custom end of survey message and create a new custom message.so4.png

Respondents who are younger than 18 are skipped to the end of the block containing the age question, immediately captured by the branch logic, directed out of the survey, and shown the custom message.

Optionally, you can enable the Flag Response As feature from the End of Survey element customize menu. As mentioned in the previous section, if this option is enabled, you must add an Embedded Data field set as Q_TerminateFlag in your Survey Flow. This marks all respondents who exit your survey through this End of Survey element as screened out in your dataset. 

Tagging Screened Out Respondents

If you plan to have multiple screen out points in your survey you can create Embedded Data fields to help keep track of how many people are screening out at each point. To do this, add an Embedded Data field above your End of Survey element and give it a field name and value that describes the screen out.

Customizing Screen Out Behavior

Using the Do NOT record survey response option deletes the response data for the respondent who was screened out. If you select this option, the discarded screen out data cannot be retrieved and it will not be possible to know how many people were screened out of the survey.

If you want to know how many people were screened-out, you select Screen-out Response and give this screen-out a name. Response data will not be collected, but Qualtrics will record how many people were screened out through that specific End of Survey element. To see this tally (and the tally of any other screen-out End of Survey elements), select Show Screen-out Counts.
